Job Title: Legal Administrative Assistant (Junior, Third-Party Contractor)
Job Location: Düsseldorf, Germany
We are currently looking for a junior Legal Administrative Assistant (fixed-short-term contract with third-party Contractor) to work within our European team in Düsseldorf office.
Main Responsibilities:
- Job Responsibilities: Legal Services Procurement and Process Support. Assist regional and representative office legal teams in the end-to-end procurement process for legal services, including collecting supplier qualification documents, preparing contract templates, submitting and tracking approval workflows in internal systems, supporting payment processing, and managing document archiving — ensuring both compliance and timeliness.
- Compliance Management: Support the execution of routine compliance tasks, including issuance of compliance requirements, task acceptance and verification, organizing training materials, and tracking feedback on compliance assignments, to ensure the effective implementation of the compliance framework.
- Case Management: Handle the archiving, coding, system upload, and updates of legal case-related documents, contracts, and records. Assist in establishing and maintaining proper case documentation logs to ensure accuracy and traceability of information.
- Meeting and Communication Support: Assist in organizing internal legal meetings, compliance training sessions, and supplier communications, and provide related administrative support.
- Other Assigned Tasks: Undertake additional support or administrative responsibilities as assigned by the regional legal department.
Requirements:
- Bachelor’s degree or above, any major accepted.
- Legal background or relevant legal work experience is preferred, but not mandatory.
- Fluent in Chinese (spoken and written).
- Intermediate level of English proficiency, capable of basic reading, writing, and communication.
- Detail-oriented and diligent, able to handle routine administrative and compliance-related tasks accurately and efficiently.
- Strong communication and interpersonal skills, with the ability to collaborate effectively across teams and departments.
- Highly responsible, proactive, and capable of working independently under guidance, while aligning with team objectives.
